The role
This individual will thrive in a fast paced environment, able to communicate with people from all levels. The successful candidate will play a crucial role in maintaining an efficient and welcoming Brussels office environment for team members and visitors alike. Working into our Head of Business Coordination in London, you would work closely with Partners in the EU Leadership Team. You would work alongside other London office management colleagues in a tight-knit, collaborative and professional team with a can-do attitude. You will be an important part of our wider Operations Team.
Responsibilities will include:
Office Operations
Ensuring the Brussels office runs smoothly, providing a welcoming office environment for team members and visitors
Budget management and expenses. Processing invoices for EU office expenses, managing the budget for events, internal activities, stationary and catering
Organise and maintain office records, inc. liaison with local suppliers and contractors
Responsibility for ensuring Hanbury’s registration to the European Commission’s Transparency Register is kept up to date throughout the year
Assisting in the onboarding process for new hires and offboarding of leavers
Key coordinator between the EU team and other elements of the Operations team, ensuring productive and assertive communication
Helping the wider office operations team with any ad hoc tasks - such as researching new suppliers, establishing new processes, obtaining quotes
Personal Assistant to Partners
Diary management for three EU Partners, overseeing expenses on their behalf and preparing monthly reports
Technology and Team Support
Maintaining an inventory of office and IT equipment, ensuring all office and meeting room technology is functioning effectively
Be able to troubleshoot technical issues, escalating to our IT helpdesk as required
Organising travel for the wider team
Ad hoc team support on meeting preparation and coordination
Events
Playing a key administrative role in event management for internal and external events, both on-site and off-site
Recommending suitable venues to the team based on event requirements, as well as actively sourcing new venues to expand our portfolio
About you - key competencies
You are proactive, adaptable, hardworking and confident with excellent attention to detail
You are skilled in project management, effectively handling different projects concurrently
You demonstrate sound knowledge of financial procedures and demonstrate discretion in everything you do
You have business acumen and the ability to understand the organisation's business, bringing quick, efficient, and creative solutions to challenges
You have a proven track record of managing and executing events (essential)
You are an efficient communicator at all levels, including external stakeholders
You have a growth mindset, constantly striving to learn and improve
You have a Bachelor's degree and at least 2 to 4 years of experience in a similar role
You will be required to work in the office 4 days a week
You speak French (desirable)
Based in Brussels, you may be asked to travel to London or elsewhere in Europe
